LLP "ITECA" (ITECA), (ITECA), is a legal entity of the Republic of Kazakhstan and, accordingly, undertakes to ensure the security of your personal data, in accordance with the Law of the Republic of Kazakhstan "On personal data and their protection".

The data we collect about you includes identity data and contact data (such as name, username or identifier, postal and email address, telephone) financial data and transaction data (such as bank account and payment card details, details of payments to and from you) technical data and usage data (such as IP address, login data, browser type and other technical data, information on how you use our services and websites).

The main ways we use your data are:

  • to register you as a customer, visitor or exhibitor
  • to process your orders including managing payment
  • to manage our relationship with you
  • to deliver relevant website content and advertisement to you
  • to use data analytics to measure, understand and improve the effectiveness of our services and advertising

We share your personal data with carefully selected third parties such as other companies in the ITECA, third party sales agents acting on ITECA’s behalf, venue providers and providers of event services or IT services who need to process your personal data in order to fulfil our contracts with you to provide services at or in connection with our events.

You can exercise your rights to access the information we hold about you, to correct or delete information from our records, to object to processing of your information or exercise any other of your legal rights by contacting us.

Purpose of this privacy policy

This policy aims to give you information on how ITECA collects and processes your personal data through your use of any of our websites and participation in our events, including any data you may provide when you sign up to our newsletter, register for or attend one of our events, request further information about or purchase any of our services. 

This privacy policy supplements any more specific privacy notices we may provide to you when collecting specific information from you and is not intended to override them.

The data we collect about you

Personal data, or personal information, means any information about an individual from which that person can be directly or indirectly identified. It does not include data where the identity has been removed (anonymous data).

We collect, use, store and transfer different kinds of personal data about you, as described below.  In some cases, the data may not be personal data by itself but where it is associated with other data from which you can be identified, we treat it as personal data:

  • Identity Data includes first name, patronymic, last name, username or similar identifier, title and gender.
  • Contact Data includes billing address, delivery address, email address and telephone numbers.
  • Financial Data includes bank account and payment card details.
  • Transaction Data includes details about payments to and from you and other details of services you have purchased from us.
  • Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website.
  • Profile Data includes your username and password, enquiries or orders made by you, your interests, preferences, feedback and survey responses.
  • Usage Data includes information about how you use our website, products and services.
  • Marketing and Communications Data includes your preferences in receiving marketing from us and our third parties and your communication preferences.

We may also utilize the above information to create Aggregated Data such as statistical or demographic data.  Whilst Aggregated Data may be derived from your personal data it is not considered personal data in law as this data does not directly or indirectly reveal your identity.

We may collect dietary restrictions to ensure that you have the best experience at out events. This information may allow inferences regarding your religion or health. Please only provide this information if you consent to its use for the intended purpose.  

We otherwise do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

How is your personal data collected?

We use different methods to collect data from and about you including through:

Direct interactions. You may give us your Identity, Contact and Financial Data by filling in forms, providing us with your business card or by corresponding with us by post, phone, email or otherwise. This includes personal data you provide when you:

  • apply or enquire for one of our services;
  • register to attend one of our events;
  • create an account on one of our websites;
  • subscribe to a service provided by us;
  • request marketing to be sent to you;
  • enter a competition, promotion or survey; or
  • give us some feedback.

Automated technologies or interactions. As you interact with our website, we may automatically collect Technical Data about your equipment, browsing actions and patterns. Third parties or publicly available sources. We may receive personal data about you from publicly available sources such as Companies House, or from third parties (examples of which are set out below), who may be based outside of the EU. Once we receive such data we will look after it in accordance with the terms of this privacy policy.

Examples of third party sources:

  • Analytics providers, Search information providers and advertising networks who provide Technical Data about your use of websites.
  • Providers of technical, visitor registration, payment and delivery services who provide us with Contact, Financial and Transaction Data relevant to services provided to you.
  • Data brokers, aggregators or third party sales agents who provide us with Identity and Contact Data of individuals likely to be interested in our services.

Call monitoring and recording. We may record and keep track of conversations you have with us including phone calls, face-to-face meetings, letters, emails, live chats, video chats and any other kinds of communication. We may use these recordings to analyse and improve our service, and to train our people.

How we use your personal data  

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • To register you as a visitor or exhibitor at one of our events

  • If you are an exhibitor at one of our events, making logistical arrangements with you in connection with  your exhibitor space at the event
  • Asking you to leave a review or take a survey
  • To enable you to partake in a prize draw, competition or complete a survey
  • To administer and protect our business and this website (including troubleshooting, data analysis, testing, system maintenance, support, reporting and hosting of data)
  • To deliver relevant website content and advertisements to you and measure or understand the effectiveness of the advertising we serve to you
  • To use data analytics to improve our website, products/services, marketing, customer relationships and experiences
  • To make suggestions and recommendations to you about goods or services that may be of interest to you

Generally, we do not rely on consent as a legal basis for processing your personal data unless you have gone through a specific consent process for a particular service.  

Marketing

We may use your Identity, Contact, Technical, Usage and Profile Data for marketing products and services to you where we have a lawful basis on which to do so.

Third-party marketing

Where we have your express consent to do so, we may share your personal data with trusted companies outside the ITECA for marketing purposes.

Change of purpose

Sharing your personal data  

We may share your personal data with selected third parties, including:

  • Other companies in the ITECA who may be acting as joint controllers or processors and/or provide IT and system administration services and internal reporting activities.
  • Companies outside of the ITECA who act as sales agents on behalf of ITECA in certain countries.
  • Service providers who provide IT systems, customer management systems, visitor registration systems, event management systems and administration services and who will process your data in accordance with the terms of our data processing agreements with them. These include providers such as Google, Amazon Web Services, Microsoft Azure, Marketo and N200.
  • Venue providers or providers of event services who need to process your personal data in order to fulfil their contracts with you or with ITECA to provide services at our events.
  • Event sponsors so that they can better plan their sponsorship to enhance attendee experience and, where applicable, to choose invitees to private briefings, meetings or dinners. These sponsors shall agree to confidentiality restrictions and to use any personal information we share with them solely for this purpose.
  • Other delegates on the Website and official Event App (if applicable) to allow delegates to contact each other and facilitate networking. No email addresses and telephone numbers will be made public through the delegate listing or otherwise. You may opt out of delegate communication through this medium at any time.

We may share your information with law enforcement agencies, public authorities or other organisations if legally required to do so, or if we have a good faith belief that such use is reasonably necessary to:

  • comply with legal obligation, process or request;
  • enforce our terms and conditions and other agreements, including investigation of any potential violation thereof;
  • detect, prevent or otherwise address security, fraud or technical issues; or
  • protect the rights, property or safety of us, our users, a third party or the public as required or permitted by law (including exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction).

We may also disclose your information to third parties:

  • in the event that we sell or buy any business or assets, in which case we may disclose your data to the prospective seller or buyer of such business or assets; or

We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.  

Data transfers outside the EEA

Sometimes we may transfer your details to third parties outside of the European Economic Area (EEA) to support the delivery of our events either within the EEA or our events in these territories, including Russia, Turkey, Ukraine, China, UAE, South Africa, Kazakhstan, Azerbaijan and India. If this happens we remain responsible to you for the transfer, processing and storage of your information. 

Data security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

Unfortunately, the transmission of information via the internet is not completely secure. We will do our best to protect your information, but we cannot guarantee the security of your information transmitted over the internet; any transmission is at your own risk. We will use strict procedures and security features to try to prevent unauthorised access to your information within our control and possession.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

Data retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements and for no longer than six years (unless a longer period is required by law).
